Sales are coming in. Customers are making transfers. Your staff are busy. Yet when salaries, supplier invoices and rent fall due, there is barely enough money in the account.
Where did the money go?
For a small or medium-sized business, answering that question requires more than checking bank alerts. You need records that explain what the business earned, what it spent, what customers still owe, and which payments are approaching.

Why sales alone cannot tell you how your business is performing
A high sales figure can hide a weak margin. A healthy bank balance can include borrowed money or customer deposits for work you have not completed.

The remaining ₦1.5 million sits in customer receivables. It cannot pay salaries until it is collected.
This is why an accountant should help you understand both profitability and cash availability. Each answers a different management question.

The scope should reflect how your business operates. A retailer needs stock controls; a consultancy needs reliable project costing and client billing. A manufacturer needs visibility over materials, production costs and finished goods.
These are the core services to consider.
1. Bookkeeping that captures the complete transaction
Bookkeeping records sales, purchases, expenses, customer receipts and supplier payments. Each entry should have enough supporting information to explain its purpose.
A transfer description saying “payment” is not enough. Was it for stock, equipment, rent, a staff advance, or repayment of a loan?
Correct classification matters. Buying a delivery motorcycle is different from paying for fuel. Receiving loan proceeds is different from earning sales revenue. An owner’s withdrawal also needs the correct treatment for the business structure and circumstances.
An orderly record should connect the transaction to its invoice, receipt, approval or other evidence.
2. Bank and payment reconciliation
Reconciliation compares your accounting records with bank statements and other payment records, then investigates differences.
For businesses accepting transfers, POS payments and online payments, this includes checking settlement delays, processing charges, reversals and missing receipts.
If a payment processor collects ₦100,000 from customers and deposits ₦98,500 after fees, recording only the deposit as sales can understate both revenue and processing expenses.
Reconciling regularly helps identify these differences before they distort several months of reports.
3. Monthly management accounts
Monthly reports should arrive early enough to influence the next set of decisions. Agree on a reporting deadline and a cut-off date for submitting records.

4. Cash flow forecasting
A cash flow forecast estimates when money will enter and leave the business. It can reveal a shortage before a payment becomes overdue. This is also the purpose described in the Australian Government’s general guidance on cash flow statements and forecasts.
For an SME, a weekly forecast covering the next 8–13 weeks can provide a practical starting point. Include opening cash, realistic customer collections, supplier payments, payroll, rent and other expected commitments.
Base collections on likely payment dates. An invoice due on Monday is not certain cash if that customer routinely pays three weeks late.
Compare the forecast with actual movements each week and revise the assumptions.
5. Customer debt and supplier payment tracking
An overdue invoice is money your business has earned but cannot yet use.
Accounting support should make unpaid balances visible and help organize follow-up. Each invoice needs a customer name, amount, issue date, due date, and payment status.
On the supplier side, a payment schedule helps prevent duplicate payments and avoid surprises. It also allows the owner to discuss payment timing before a relationship becomes strained.
6. Payroll records and expense controls
Payroll should be supported by approved employee details, pay changes, attendance or other relevant records, and a clear calculation of gross pay, deductions and net pay.
Expense controls should specify who can request spending, who approves it and what evidence is required.
Even a small team benefits from separating payment preparation from approval where possible. Where staffing makes that difficult, the owner should independently review statements and supporting records.
7. Inventory and job costing
A shop can have money tied up in stock that barely moves. A service business can stay busy on projects that consume more staff time than the fee covers.
For stock-based businesses, accounting should connect purchases, goods sold, returns, damage and physical stock counts.
For service businesses, project costing should capture direct labour, subcontractors, travel, materials and a reasonable allocation of overheads.
That information helps you identify which products or assignments contribute enough to cover the business’s running costs.
8. Records for tax and year-end reporting
Reliable accounting provides the supporting records needed for tax work and year-end financial reporting. It does not automatically mean every filing obligation has been completed.
Your engagement should state whether tax calculations, submissions, statutory accounts or audit support are included or charged separately. Routine bookkeeping and management accounts do not provide an audit opinion.
How often should an SME update its accounts?
Waiting until year-end makes missing information harder to recover. A manageable routine is:

Outsourcing can suit an SME that needs scheduled bookkeeping, reporting and review without enough work for a full-time accounting role.
An internal accountant may be more suitable where daily transactions, stock movements, cash handling or branch operations require continuous attention.
A combined arrangement can also work: internal staff capture documents and process routine transactions while an external accountant reviews the records and prepares reports.
Choose based on workload, supervision and the quality of information you need. Whichever arrangement you use, keep business ownership of the records, control user access and agree how your data will be returned if the engagement ends.
What affects the cost of accounting services?
A meaningful quote depends on more than business turnover. The work is affected by:

• Employees and payroll complexity.
• Stock, branches, projects and payment channels.
• The condition of existing records and any backlog.

A spreadsheet can support a small number of transactions if it is structured properly, backed up and reviewed. As activity increases, duplicate entries, accidental formula changes and access control become harder to manage. Your system should match the volume and complexity of the business.
Do I still need an accountant if I use accounting software?
Software processes information according to its settings and the entries supplied. It cannot ensure that every transaction is complete, correctly classified or commercially sensible. Accounting review helps check the records and explain what the reports mean.
Can accounting help a business access funding?
